Chapter Semesterly Compliance¶
Goal¶
Give every chapter one predictable semester closeout process for confirming alumni records, finances, National communication, and current membership information.
The instructions are public; the submissions are restricted
Never commit alumni spreadsheets, transaction workbooks, receipts, member names, personal email addresses, majors, resumes, private upload links, or completed compliance trackers to this repository. Submit them only through the National-restricted system named in the current compliance notice.
When to use this¶
The Chapter President should open this checklist early each semester, assign an owner for every requirement, and review it again before the official submission window. National leadership must publish the actual deadline, approved submission route, and reviewer contacts each term.
The four requirements¶

Track status and confirmation identifiers, not copies of restricted member or financial data.
Handling corrections or delays¶
- Tell the appropriate National reviewer before the deadline when a requirement may be late or incomplete.
- State the affected requirement, the blocker, the chapter owner, and the earliest realistic completion date.
- Do not send sensitive attachments through a wider channel merely to meet a deadline.
- Respond to correction requests in the original restricted submission route.
- Ask the reviewer to confirm when the requirement is complete.
- Escalate unresolved ownership or policy questions through the National Organization Map.
What worked¶
Chapters reduce closeout pressure when they maintain transaction support and membership changes throughout the semester instead of rebuilding records at the deadline. One chapter-level coordinator should track all four requirements even when different officers prepare them.
What to adapt¶
The collection tool, deadline, template version, and review owner may change. National leadership should publish those details before each reporting window and clearly identify whether a correction replaces a file or adds a new version.
School policy, applicable law, and approved KTP privacy or retention policy may require stronger controls. Follow the strongest applicable rule and escalate conflicts before collecting or transmitting member data.
