Charter and Hand Off¶
The transition meeting should verify readiness, resolve open questions, preserve the founding story, and leave the new chapter with a practical first-60-day plan.
Transition review¶
Confirm through approved private systems that the chapter has completed its constitution, school recognition requirements, membership records, representative information, financial setup, and other current National requirements.
During the meeting, review:
- Constitution and governance differences
- Required forms and chapter-representative information
- Founding EBoard presentation and chapter vision
- Recruitment, programming, and operating lessons from the colony semester
- Remaining risks and support needs
- Official founding date and next public announcement steps
The transition should also confirm owners for the constitution, finance calendar, recruitment records, new-member program, public campaign assets, and technology stack. Use the handoff checklists in the governance, finance, and technology guides.
Preserve the public founding record¶
Add the new chapter to the Chapter Directory with:
- school and Greek designation;
- official founding date and standing;
- public chapter website;
- a short chapter bio;
- approved founding EBoard names; and
- a brief first-semester entry.
Do not publish personal contacts, member lists, private forms, account information, or unapproved photographs.
First 30 days¶
- Publish the chapter's approved public profile.
- Confirm the next National check-in and mentor-chapter meeting.
- Establish the regular EBoard meeting and reporting rhythm.
- Complete required National platform onboarding through private channels.
- Review the next semester's highest-risk deadlines.
- Record unresolved questions and owners.
Days 31–60¶
- Run one low-risk repeatable event.
- Review budget versus plan.
- Check officer workload and redistribute work if needed.
- Test the member and alumni communication systems.
- Hold a short retrospective with Nationals or the mentor chapter.
- Update the chapter page with the first reusable lesson.
Handoff to ongoing chapter operations¶
Once the chapter is stable, use the New EBoard Onboarding Guide, the Yearly Chapter Archive Template, and the National–Chapter Communication Ideas as the continuing operating system.
