Semester National Check-In

Goal

Use one focused 30-minute conversation each semester to surface chapter needs, confirm National expectations, and assign concrete follow-up actions.

Who attends

The chapter is represented by its VP of External Affairs and/or Chapter President. National leadership should name the appropriate National attendee and scheduling route in the semester compliance notice. Additional officers may attend when their portfolio is central to the agenda.

Before the meeting

The chapter representative should prepare a short chapter-private brief containing:

  • current semester priorities and overall chapter health;
  • progress on the other three compliance requirements;
  • one or two wins worth sharing with other chapters;
  • blockers or decisions needed from Nationals;
  • upcoming leadership transitions, programs, or external relationships that need coordination; and
  • the desired outcome for each question.

Do not paste member records, resumes, detailed financial records, conduct matters, or sensitive incident information into an ordinary calendar invitation.

Suggested 30-minute agenda

0–5 minutes Chapter status, goals, and major changes
5–12 minutes Membership, alumni, finance, and compliance status at a summary level
12–20 minutes Chapter blockers, questions, and requests for National support
20–26 minutes Upcoming programs, cross-chapter opportunities, and National updates
26–30 minutes Decisions, owners, deadlines, and next contact

Completion standard

The requirement is complete when an eligible chapter representative attends the full check-in and both sides record the decisions, action owners, and due dates in the appropriate private system. Attendance alone is not enough when open actions have no owner.

After the meeting

  1. Send or record a concise action summary in the approved chapter-access channel.
  2. Assign one owner and target date to every action.
  3. Move sensitive issues to the appropriate restricted portfolio route.
  4. Ask National leadership to confirm whether the check-in requirement is complete.
  5. Add unresolved items to the chapter's EBoard agenda until closed.

What worked

The strongest check-ins arrive with a small number of decisions to make. Long status presentations leave too little time for National support, so share routine context ahead of time when the approved channel allows it.

What to adapt

National leadership may pair chapters with different portfolio owners based on the semester's needs. Keep the 30-minute outcome focus even if the participant list or meeting platform changes.
